You can bring a list of leads into Arraxis from a spreadsheet, and take your leads out again as a CSV file. Only an owner or a manager can import.
What your file needs
- A .csv or .xlsx file, up to 5 MB and 20,000 rows.
- The column names in the first row (Name, Phone, Email and so on), with at most 60 columns.
- For an Excel file, only the first sheet is read.
Old .xls files, files with macros and password-protected files are refused, and Arraxis tells you why in plain words. Save an old file again as "Excel Workbook (.xlsx)" or "CSV UTF-8".
Import in four steps
Open Settings → Lead Sources → Import a spreadsheet, or press Import on the Leads page.
- Upload. Choose the file. Arraxis reads it in the background, so you can leave the page.
- Match your columns. Arraxis matches what it can, such as Name, Phone, Email, City, a message and a date. Set at least one column to Phone or Email. You can also match columns to Stage, Owner (name or email), Tags (separated by commas), Amount and Source, or to one of your own fields.
- Check. Before anything is saved, Arraxis tells you how many rows are new, how many are already in Arraxis, how many appear twice in your file and how many cannot be imported, with the reason. It also shows the first 50 rows.
- Import. You see progress and get a notification when it is done. You can stop at any time. Leads already added stay.
Choose how to handle duplicates and old leads
In step 2 you decide what happens when Someone is already in Arraxis (same phone or email):
- Skip them (recommended).
- Add the row to their open lead as a new enquiry.
- Add a separate lead anyway.
These are old leads is on by default. Old leads get no welcome messages, no automations and no notifications, and they are not put in the call queue. Each lead keeps the date from your file. Nothing is sent to anyone.
If you turn it off, the leads are treated as brand new. Your new-lead automations run, for example a WhatsApp welcome, and your team works them from the call queue.
What happens to tricky rows
- A phone number that Excel turned into 9.23E+11 cannot be imported. Format the phone column as Text in Excel and export again.
- Phone numbers with or without a country code are repaired and saved in international form. A number without a country code gets your workspace's country code.
- No phone and no email means the row cannot be imported.
- A stage that does not exist sends the lead to your default stage, with a warning.
- Dates are read the way you chose. A date in the future, or more than 5 years back, is replaced by today's date.
- Text starting with =, +, - or @ is kept as text and never run as a formula.
- The same reference number as an earlier import is skipped.
If some rows cannot be imported, press Download the problem rows. You get a CSV with two extra columns at the start, Row and Problem. Fix the rows and upload that file again.
Undo an import
For 24 hours after an import finishes or is stopped, press Undo this import. It removes the leads that import added, except any your team has already worked on (called, messaged, booked or edited). Enquiries added to existing leads stay. You can then import the same file again.
Limits to know
- 10 uploads an hour per workspace.
- If reading the same file fails three times, Arraxis stops the import with the message "Arraxis stopped reading this file 3 times". Save the file again as "CSV UTF-8" and upload it again.
- Uploaded files are deleted 30 days after the import finishes.
Export your leads
Press Export on the Leads page. You download what the page is showing, using the same filters, as a CSV that opens correctly in Excel and Google Sheets, including Arabic and Chinese text.
- You can export up to 50,000 rows a download, and 10 downloads an hour.
- Owners, managers and agency staff export everything, including amounts. A Call Agent exports only their own leads and never sees amounts. Reception and viewers cannot export.
- Every export is recorded: who, which filters, and how many rows.
- You can choose which columns to include. Phone numbers keep their plus sign and leading zero in Excel.
- Text that starts with =, +, - or @ is written safely so it can never run as a formula.
