Acceptable Use Policy

The rules for using Arraxis: consent-based messaging, WhatsApp, email and SMS rules, safe use of AI, data you must not store, and security.

This Acceptable Use Policy sets out what you may and may not do with Arraxis. It applies to every workspace and every person who uses it. Arrax Marketing sells and operates Arraxis, and is the data controller for account data. This policy forms part of our Terms of Service.

You are responsible for how your business and your team use Arraxis, including every message, campaign and call you send through it.

1. Only message people who gave you permission

  • Only contact people who have given you permission to contact them, in the way the law in their country requires.
  • Keep a record of how and when each person gave permission.
  • Stop contacting anyone who asks you to stop, on every channel, straight away.

2. WhatsApp

  • Follow the WhatsApp Business Messaging Policy and the WhatsApp Commerce Policy.
  • Follow Meta's rules for message templates, including the rules on which template categories you may use and when.
  • Only send WhatsApp messages to people who have agreed to receive them from your business.

3. Email

  • Follow anti-spam laws, such as CAN-SPAM in the United States, and the GDPR and PECR in the EU and UK.
  • Every marketing email must include a working unsubscribe link. Honour unsubscribe requests.
  • Do not use false or misleading sender names or subject lines.

4. SMS and phone calls

  • Follow the SMS and calling rules in each country you message or call.
  • In the United States, send SMS only from a registered 10DLC campaign or a verified toll-free number, and get the consent the TCPA requires.
  • Honour opt-out replies such as STOP.

5. Built-in guardrails

Arraxis has default guardrails to help you message responsibly:

  • Quiet hours. No automated messages between 9 pm and 9 am.
  • Daily limit. At most 3 automated messages to each lead each day.
  • WhatsApp permission. WhatsApp automations only go to leads who gave permission.

These guardrails help, but they do not make your messaging lawful on their own. The rules where you and your contacts live may be stricter. You must not change, work around or rely on the guardrails to get around the law.

6. Content you must not send or store

Do not use Arraxis to send, store or share content that is:

  • illegal, or that promotes illegal activity
  • deceptive or fraudulent, including phishing, scams and false claims
  • harassing, threatening, abusive or hateful
  • adult or sexually explicit
  • harmful to computers, such as malware or links to it

7. Contact lists

  • Do not buy, rent or sell contact lists.
  • Do not scrape contact details from websites, social media or other sources.
  • Only import contacts that your business collected lawfully and has permission to contact.

8. Data you must not store

Arraxis is a sales and booking CRM, not a medical records system or a payment system. Do not store any of the following in notes, custom fields, messages or anywhere else in Arraxis:

  • medical or clinical records
  • payment card numbers
  • government ID numbers, such as passport, national ID or social security numbers

We do not sign HIPAA business associate agreements.

9. AI features

  • Do not present the AI chat receptionist or the AI phone receptionist as a human. They always say they are an AI, and you must not change or hide that.
  • Do not use AI features to give medical, legal or financial advice.
  • Check AI output before you rely on it. It can be wrong.
  • Respect customers who opt out of AI by writing "No AI".

10. Accounts and security

  • Do not share logins. Each person needs their own account.
  • Do not access, or try to access, another workspace or data you are not allowed to see.
  • Do not copy, decompile or reverse engineer Arraxis.
  • Do not overload the Service, or use it in a way that harms its performance for others.
  • Do not test, scan or probe the security of Arraxis without our written permission.
  • Do not use Arraxis to break the rules of any third-party platform it connects to, such as Meta, Google, Twilio or Vapi.

11. What happens if these rules are broken

If you break this policy, we may:

  • remove or block the content involved
  • pause automations or campaigns
  • suspend or close your account

Where it is reasonable, we will give you notice first and a chance to fix the problem. We may act without notice if there is an urgent risk to people, to the Service or to our standing with platforms such as Meta, or if the law requires it.

Third-party platforms can also take their own action against your accounts, such as limiting your WhatsApp number. That is outside our control.

12. Reporting misuse

If you think someone is misusing Arraxis, for example sending you messages you did not agree to, email support@arraxis.site. Please include the business name and the message, if you have it.
