When someone fills in a lead form on one of your Facebook or Instagram ads, Arraxis can receive the lead within seconds. It also checks every 6 hours for any lead it may have missed.
Connecting uses Meta's official login. Facebook opens its own secure window, so you never type a Facebook password or copy a key into Arraxis. It takes about 5 minutes.
Before you start
- You need full control of the Facebook Page that runs your lead forms.
- You need access to the ad account if you want ad spend in your reports.
- Only an owner or manager in Arraxis can change the Facebook connection.
- If you already receive these leads through Zapier or another tool, switch that tool off after connecting. Otherwise each lead arrives twice. Arraxis merges the duplicates it can match, but it cannot switch the other tool off for you.
Connect your Page
- Open Settings → Integrations and press Connect with Facebook.
- Log in on Facebook's window and approve access once.
- Page: choose the Page that runs your lead forms.
- Forms: tick the lead forms to import. Only ticked forms are imported, so a job application form or another brand's form can stay unticked. Tick Also import forms created later if you want new forms added automatically.
- Ad account: choose the account that pays for the ads. Arraxis uses it for spend, cost per lead and your reports. You can skip this and add it later.
- Dataset: choose where Arraxis sends your lead stages (Meta's Conversions API). You can skip this too.
- Backfill: choose whether to import older leads. See below.
- Press through to Done. The last screen tells you how many forms were imported.
Import older leads
On the Backfill step you can choose New leads only, Last 7 days, Last 30 days (recommended) or Last 90 days. Meta keeps leads for 90 days, so that is the furthest back you can go.
Older leads are treated carefully:
- They never trigger automatic WhatsApp or email messages.
- They go into your call queue only if you tick Add these older leads to the call queue.
You can also import more later. A form you tick later brings in the leads it already received, up to 90 days back.
Map the WhatsApp permission question
Arraxis messages a lead on WhatsApp only if they agreed to it. If your form asks "May we message you on WhatsApp?", match that question to the WhatsApp permission field when you tick the form. The ready-made automations rely on it.
Test it
Use Meta's Lead Ads Testing Tool and press Create Lead. The test lead shows in Arraxis as "Meta test lead" with a Test chip. Its stages are never sent to Meta.
If you use Preview Form in the same tool, Arraxis treats what you type as a real lead. Mark it as junk afterwards.
If something looks wrong
| You see | What to do |
|---|---|
| Waiting for the Meta app | The Facebook connection is not open for your workspace yet. Leads can keep arriving through a website form or a CSV import. Email support@arraxis.site for the latest status. |
| Meta refused access to leads | In Facebook Business Settings → Integrations → Leads Access, allow Arraxis and the person who connected Facebook. |
| Facebook disconnected Arraxis from your Page | Open Settings → Integrations and press Reconnect, using a Facebook account that fully controls the Page. |
| Leads still arrive, but spend and conversions are paused | Reconnect. Your leads are not affected. |
| Leads arrive twice | Switch off the other tool that also sends your Facebook leads. |
