Set up staff calendars and your booking page

Set staff hours, turn on your public booking page, embed it on your website, send reminders, sync Google Calendar and mark no-shows.

Arraxis has a calendar for your team and a public booking page where customers book themselves. Every booking lands on the calendar and on the lead's page.

1. Set up your staff calendars

  1. Open Settings → Calendar & Booking. Every active team member is listed.
  2. Open a person's row and set their working hours. You can leave "Use the clinic's hours" on to start. Add time off or a different schedule for a single date under Overrides.
  3. Turn on Bookable for anyone customers should be able to book. Give them a short public link name, for example dr-morgan, and a one-line bio if you like.

You can already book appointments inside Arraxis. On a lead's page, press Book, then choose a person, a service and a time. The Calendar shows every booking in Day, Week and Month views.

2. Turn on your public booking page

  1. In Settings → Calendar & Booking, turn on Booking page. Arraxis shows your link. It looks like app.arraxis.site/book followed by your business name. Copy it.
  2. Choose whether customers can pick "any available" person or must pick one by name. If you have more than one branch, Arraxis asks for a branch automatically, unless you set it yourself.
  3. Share the link anywhere: in a WhatsApp message, your Instagram bio or a button on your website.

Every booking made on the page appears in Arraxis as a new lead in your booked stage, tagged "Booking page", with the appointment already on the calendar. The stage name follows your industry, for example Appointment Booked for a clinic.

If a person has no public link, they are not marked Bookable yet or have no link name. If the page says it is not available, the booking page is switched off.

3. Put it on your website

You have two choices. You can link to the hosted page, or you can show a form or the booking page inside your own site.

  1. In Settings → Calendar & Booking, copy the one-line snippet shown for your booking page. For a simple enquiry form, open Lead forms → New form, choose the fields (name and phone are always collected), save, and press Copy snippet.
  2. On WordPress, paste it into a Custom HTML block. Most other site builders have a "Custom code" or "Embed" block.
  3. Add your website to Allowed sites before you paste. Enter the full address with https:// and no slash at the end, such as https://yourclinic.com. One address per line. If you use both the www and the plain version, add both.

Arraxis only shows its pages inside websites you have listed, so nobody else can put your form on their own site. A change can take up to a minute. If the box stays empty, check the Allowed sites list first. Then ask whoever manages your site to allow embedded content from your Arraxis address.

Every enquiry form submission becomes a new lead at once, tagged with the form's name.

4. Confirmations and reminders

A customer who books gets a confirmation. It goes on WhatsApp if your number is connected and the booking confirmation, reschedule and cancellation templates are approved. Otherwise it goes by email, with a calendar invite attached, if the customer gave an email address. Settings → Calendar & Booking → Customer confirmations shows which one is in use.

Reminders to customers, and to the person who booked and the person hosting, are built in. Change them in Settings → Reminders and Settings → Calendar.

5. Sync Google Calendar

In Settings → Calendar & Booking → Google, each team member who is not a viewer sees Connect Google Calendar next to their own name.

  1. Press it. Google opens its own sign-in and permission screen.
  2. Approve access. Arraxis then adds that person's future bookings to their Google Calendar within a minute. Reschedules and cancellations follow.

Sync is one way, from Arraxis to Google. Each event shows the customer's name, phone, service, branch and who booked it, plus a link back to the lead. It never includes your private notes or messages. An optional setting adds the customer to the Google event as a guest, so Google also emails them. It is off by default.

If you see "Arraxis no longer has permission to edit this calendar", press Connect Google Calendar again.

6. Mark no-shows and completed visits

After an appointment, open it on the Calendar or on the lead's page and mark what happened:

  • Press Showed up if the customer came. You can use it from 12 hours before the start time.
  • Press No-show if they did not. Then choose Rebook now to pick a new time, or Move to call-back, and press Confirm no-show.

The Attendance pending list shows appointments that still need a mark.

Your team's marks matter, because ready-made automations use them. A missed visit can trigger a rebooking message, and a completed visit can trigger a review request. See Switch on a ready-made automation.
